What it does
The Share dialog controls who can see and edit a Space, Folder, List, Doc, or Dashboard — invite specific people or whole Teams, set a default permission level, and flip the item between private and workspace-visible. A separate guest system gives someone outside the workspace access to exactly one List.
Who needs it
Anyone bringing a client, contractor, or another department into part of the workspace without handing them the whole thing. Admins setting up a Space that shouldn't be visible to everyone by default.
Why use it
Permission that's actually granular — down to a single List — means you can loop a client in on their project without also handing them every other client's work.
How it works
Open Share on a Space, Folder, List, Doc, or Dashboard to control who can see and edit it. Invite by name or email — search finds both individual people and Teams, and inviting a Team grants the same access to every member at once.
Permission levels: View only, Comment, or Full edit — set as the default applied to new invites, and adjustable per person or Team already sharing the item.
Private vs. workspace members: every shareable item has a Workspace members row that reflects whether it's private. Flip it to make the item visible to everyone in the workspace by default, or private so only people explicitly invited can see it.
Private link: copy a direct link to the item — useful for pointing an already-permitted teammate straight at it.
Guests: a separate, more restrictive form of access — a guest is a user granted access to one specific List, not a whole Space or Folder, managed from that List's guest list. Guest access has to be turned on for the workspace first (Security & Permissions settings); once it is, granting it adds a single List to a person's access without exposing anything else. A guest's account role is literally Guest — the most limited of the four workspace roles (Owner, Admin, Member, Guest).
